Migrating from QuickBooks Desktop to Online isn’t just about clicking “Export” and hoping for the best—especially when payroll and payments are in the mix. The secret sauce? Making sure your Intuit ID is consistent and that you’re a company admin in both places. Let’s break down the best practices for a hassle-free migration, so you and your clients stay paid, compliant, and (mostly) sane.
Why the Intuit ID Is the Key to the Castle
Before you even think about moving payroll or payments data, double-check this:
The Intuit ID linked to your QuickBooks Desktop file must match the Intuit ID on your QuickBooks Online subscription.
Why? Because Intuit uses this ID to verify your access, connect your services, and ensure you have the right permissions to move sensitive payroll and payments info.
- If the Intuit IDs don’t match, Payroll migration will stall or fail—leaving you stuck in limbo or a long setup process.
- Both accounts (Desktop and Online) must have the same company admin as the Intuit ID. Only admins can initiate or approve the migration for payroll and payments.

- Update QuickBooks Desktop to the latest version.
- Reconcile accounts, finish outstanding payroll runs, and pay any payroll tax liabilities.
- Review your chart of accounts and ensure everything matches your most recent tax return.

Check Your Admin Status:
- In both QuickBooks Desktop and Online, confirm you’re logged in as the primary admin (or transfer the admin role if needed).

Match Your Intuit IDs:
- Use the same email address/Intuit ID for both your Desktop file and Online subscription.
- Unsure which ID is connected? Check in the Company > My Company window in Desktop and in Account & Settings in QBO.
