If you use QuickBooks Desktop, it’s time to get ready for some important pricing updates. Starting August 1, 2025, Intuit is rolling out new prices for several QuickBooks Desktop products and services—including some big changes to payroll fees for Enterprise users. Here’s a simple breakdown of what’s changing, why, and how it might affect your business.

The Big Picture: What’s Changing?

First, a quick recap:
Intuit stopped selling new subscriptions for QuickBooks Desktop Pro Plus, Premier Plus, Mac Plus, and Enhanced Payroll back in September 2024. If you’re already a subscriber, you can keep renewing—these changes are just for current users.

The Big Change: QuickBooks Enterprise Payroll Fees

This is where things get a little more interesting—especially if you use QuickBooks Enterprise (Gold, Platinum, or Diamond) and run payroll.

What’s Changing for Enterprise Payroll?

Before August 1, 2025:

• Gold & Platinum: No per-employee payroll fees.
• Diamond: $1.50 per employee, per pay period.

After August 1, 2025:

• Gold & Platinum:

  • A new monthly per-employee fee structure will apply.
  • The more employees you pay, the lower your per-employee cost.

• Diamond:

  • The fee increases to $2.50 per employee, per pay period.

New Payroll Fee Structure for Gold & Platinum

Example:
If you pay 15 employees in a month:

• The first 9 are billed at $3 each ($27)
• The next 6 are billed at $2.50 each ($15)
• Total monthly payroll fee: $42

Diamond Plan:

• $2.50 per employee, per pay period (up from $1.50).

When Does This Start?

• Gold & Platinum: The new per-employee fees begin on your next renewal date after August 1, 2025.
• Diamond: The new fee starts August 1, 2025.

How Will You Be Billed?

• Gold & Platinum: Billed monthly, based on the number of unique employees paid that month.
• Diamond: Billed per pay period.

Why Is This Happening?

Intuit says the new pricing reflects the value of their products and brings payroll costs in line with industry standards. For Enterprise users, the new payroll pricing is designed to scale with your business—if you have more employees, your per-employee cost goes down.What Should You Do?
