If you use Square and QuickBooks Online, here’s what’s changed and what you need to know about each integration app—no fluff, just the facts.

1. Sync with Square (Retired)

  • Status: Discontinued. No longer available or supported.
  • Features:
    • Automatic sales import from Square.
    • Supported multiple Square accounts.
    • Allowed some custom mapping and manual syncs.
  • Limitations:
    • Unreliable, no updates, and no support.
    • Must disconnect before switching to a newer app.

2. Connect to Square (Legacy)

  • Status: Being phased out and replaced by Square Connector.
  • Features:
    • Automatic import of Square sales, fees, taxes, discounts, and customer data.
    • Bulk add and match transactions.
    • Import up to 2 years of historical data at setup.
    • Improved reliability over Sync with Square.
  • Limitations:

    • Product/service matching is by name only; unmatched items become generic sales lines.

3. Square Connector (Current, by Intuit)

  • Status: The latest and recommended integration, developed and supported by Intuit.
  • Features:
    • Fully automatic import of Square sales, refunds, fees, tips, discounts, and taxes.
    • Supports multiple Square locations (multi-location support).
    • Lets you map Square products to QuickBooks products/services for better accuracy.
    • Imports customer info, payment methods, and item-level transaction details.
    • Allows you to review and edit transactions before adding to your books.
    • Bulk actions for adding/matching transactions.
    • Automatic daily sync—no manual refresh needed.
    • Import up to 18 months of historical transactions on setup.
  • Limitations:
    • No manual sync—updates are scheduled.
    • Some custom advanced mapping options are still more limited compared to third-party apps.
    • Only available for QuickBooks Online, not Desktop.

What About Other Square Sync Apps?

There are several third-party apps in the QuickBooks App Store that can sync Square data with QuickBooks Online. These may offer advanced customizations, different interfaces, or extra features—sometimes for a fee.
But here’s the big advantage of the Intuit-developed Square apps:

If you want everything in one place, minimal hassle, and official support, the Intuit Square Connector is the way to go. Third-party apps are still an option if you need something more specialized, but you’ll manage them separately and support comes from the app developer, not Intuit.
