New ยท Buy now, pay later with Affirm

Your customer pays over time. You get paid up front.

QuickBooks Payments now offers Affirm on payment-enabled invoices. Customers can spread a bigger invoice over monthly payments, and you get the full invoice amount minus your card fee, as fast as a card or ACH payment.

Card rateCosts the same as your credit card transaction fee. No setup cost.
$50โ€“$20,000Invoice amounts that can use pay-over-time

No default riskAffirm takes on repayment risk, so you never chase installments
  • Already on. Affirm is turned on automatically with QuickBooks Payments. Turn it off in Payments settings or on any single invoice.
  • Reconciles like a card payment. The payment posts to the invoice and the payout matches in the bank feed, with no loan balance to track.
  • Built for bigger tickets. It's a natural fit for project deposits, equipment, and annual retainers that customers would rather pay monthly.

How QuickBooks Payments shows up when you reconcile

The customer pays the full invoice and your bank receives that amount minus fees. QuickBooks records both sides for you. Here's what happens and what to check.

EventWhat QuickBooks doesWhat to check
Customer pays an invoiceRecords the payment, marks the invoice paid, and holds the full amount in Payments to Deposit (Undeposited Funds).Invoice shows Paid. A/R drops by the full amount.
Payout hits the bankCreates the bank deposit automatically and groups every payment in that payout. The deposit total equals the bank statement amount.
Processing feesPosts fees to a QuickBooks Payments fee expense, either on the deposit or as a monthly charge, depending on your fee setting.Sales stay at the full amount. Fees appear as an expense and never reduce income.
Bank feedSuggests a match to the deposit it already created.Click Match, not Add or Categorize. Adding it again double-counts income.
Refunds & disputesRefunds go through a refund receipt or credit memo. A chargeback comes out of a later payout.Re-open the customer's balance or book the chargeback, and record any dispute fee as a merchant fee.
Affirm pay over timeRecords the full invoice payment, minus the card fee, like any card payment. Affirm handles the customer's installments.Nothing extra to track. There's no loan or receivable on your books.
QuickBooks DesktopPayments land in Undeposited Funds. Payouts become merchant service deposits with a fee line. The deposit nets to the bank amount, with fees on their own negative line.

Questions

Before you activate

Is there a monthly fee or contract?

No. QuickBooks Payments is pay as you go, with no monthly fee, setup fee, or contract. You only pay a percentage when a customer pays you, so it makes sense to activate even if you rarely take cards.

What discount do I get through your link?

Activating through our link gives you Intuit's ProAdvisor rates for QuickBooks Payments: 2.8% on invoiced cards instead of 2.99%, 2.3% in person instead of 2.5%, 3.3% keyed instead of 3.5%, and 1% ACH capped at $15 per payment. Intuit sets these rates and may change them.

Does it count toward my Power-up tier if I barely use it?

Yes. QuickBooks Payments counts as a Power-up once it's activated through our referral link, even if you only use it occasionally.

Why doesn't my bank deposit match my invoice total?

Intuit takes its fees out before sending the payout, and one payout can include several payments. QuickBooks records the full payment amounts and the fees separately, so the deposit it creates matches the bank. In the bank feed, match to that deposit instead of adding a new one.

How fast do I get my money?

Payouts usually arrive within one to two business days, depending on your account and payment type. Instant Deposit is available for an extra 1.75% when you need cash the same day, including nights and weekends.

What happens if a customer pays with Affirm and then misses payments?

Nothing changes for you. Affirm pays you the invoice amount up front, minus the same fee as a credit card payment, and takes on all repayment risk. You don't track balances or chase installments.

Does it work with QuickBooks Desktop?

Yes. In Desktop you take payments through Receive Payments, and payouts are recorded as deposits from Undeposited Funds with the fees on a separate line. Affirm buy now, pay later needs QuickBooks Online. Our free course covers both versions.

I already have QuickBooks Online. Can you set it up for me?

Yes. Activate through our link, then reach out and our team can help connect Payments, choose the deposit and fee accounts, and turn on Pay Now for your invoices.
